Case Management Software in Morocco: Organize Matters and Deadlines

A practical guide for Moroccan law firms: connect each matter to its documents, responsible lawyer and next deadline, while keeping official verification and data protection in view.

A useful case management system should help a law firm answer three questions: where does this matter stand, what happens next, and who is responsible? The goal is not simply to replace paper folders. It is to make the next action visible alongside the information needed to complete it.

The Law Society of Ireland identifies bringing case information into one digital file as a benefit of case management software. That organizational principle is useful for Moroccan practices, without importing Irish legal requirements into Morocco. The workflow below is a practical recommendation, not legal advice. lawsociety.ie

Keep official case tracking separate from internal organization

Morocco’s Mahakim portal provides case tracking and a hearing-list search option. Its case search uses the complete case reference and court selection. These are useful official reference points when organizing a firm’s own records. mahakim.ma

Our recommendation is to distinguish two activities: checking the relevant official information, and organizing the work that follows. After a check, record its date, the source consulted and the next action in the internal matter record. Do not assume that a practice management product synchronizes with Mahakim unless that capability has been demonstrated.

Build each matter around its next action

Use a consistent matter record

Start with a short, repeatable structure rather than importing every document immediately. For each matter, record:

  • An internal reference and the client concerned.
  • The relevant court and complete court reference, where applicable.
  • The responsible lawyer and a designated backup.
  • The latest verified development and its supporting document.
  • The next hearing, validated deadline or internal task.

If your team handles documents in Arabic and French, test both languages during software evaluation. Try actual naming conventions, mixed-script filenames and searches using anonymized examples. Treat language support as a requirement to demonstrate, not a feature to presume.

Separate three kinds of dates

Use distinct labels for hearing dates, legal deadlines validated by the lawyer and internal preparation targets. A reminder to prepare documents is not the same as the date by which an action must legally be completed.

For every important date, retain its source and identify who checked it. Ask the responsible lawyer to validate the applicable deadline and any calculation. Then work backwards to create preparation tasks. If automated reminders are offered, test their delivery and escalation rather than relying on a demonstration screen.

Make a hearing change trigger a complete review

Consider a hypothetical Casablanca firm handling a commercial dispute for a Moroccan SME. A hearing changes. The proposed workflow is to verify the new information, update the hearing entry, review related preparation tasks and assign responsibility for informing the client.

Do not automatically move every associated deadline by the same interval. Instead, have the lawyer review which dates actually change. Keep a note of what was amended and why, using the product’s available fields or an agreed office procedure.

For the business client, use a concise update: latest verified development, next step, documents needed and the requested response date. Label any date set for internal preparation clearly. This makes the client’s contribution explicit without promising an outcome or a court timetable.

Check data handling before uploading client files

The CNDP’s guidance under Law 09-08 addresses data minimization, accuracy, confidentiality, security and oversight of service providers. Software selection should therefore include data handling, not just ease of use. cndp.ma

Ask where production data and backups are hosted, who can access them, how access is withdrawn and how restoration is tested. Have the applicable CNDP formalities assessed for your actual processing. The CNDP also publishes specific conditions for transfers abroad; foreign hosting should not be treated as a purely technical choice. cndp.ma

Before signing, clarify support, updates and how the firm retrieves its information when the contract ends. The Law Society of Ireland’s vendor-selection guidance specifically highlights end-of-contract data ownership, alongside security and support. These are procurement questions, not Moroccan legal rules. lawsociety.ie

Evaluate LawFirmApp against a small, realistic workflow

LawFirmApp’s stated scope includes matter and case organization, client and document management, tasks, deadlines, hearings and a legal calendar. Those functions provide a starting point for evaluating the workflow described here. They do not establish automatic deadline calculation, court integration, reminder delivery, hosting arrangements or legal compliance; confirm any additional requirement separately.

Altweeb provides software and digital product development and technology consulting. A useful discussion should begin with the firm’s current process and a demonstration using anonymized sample matters, rather than a long feature wishlist.

For the pilot, measure retrieval time, missing owners, unverified dates and incomplete next actions. These are suggested evaluation measures, not claimed customer results. Keep the existing validated calendar authoritative until the new records have been reconciled and responsibility for the switch is clear.

Conclusion: connect the file, the date and the person

For a Moroccan law firm, the practical objective is a matter record that explains what comes next and who will do it. Start with consistent records, lawyer-validated dates and a controlled pilot. Evaluate the software by how well it supports that discipline—not by whether it promises to replace it.
